Clinical Services Assistant

This role is permanent, subject to Philippine Labor Law’s Probation and Regularization standards.

Responsibilities

  • Assist the clinical services team with administrative tasks and maintaining documentation.

  • Organize and maintain compliance records, files, and databases to ensure they are up-to-date and accessible.

  • Prepare reports for management, regulatory agencies, and other stakeholders.

  • Maintain accurate records of activities, training, incidents, and resolutions.

  • Ensure documentation is complete, accurate, and filed according to regulatory requirements.

  • Prepare and process correspondence and documentation for clients, employees/candidates, clinics, and labs.

  • Coordinate with clinical services teams for kits to be prepared and sent to clinics for scheduled appointments.

  • Handle Protected Health Information (PHI) confidentially and accurately.

  • Track and follow up with clients, employees, candidates, clinics, and labs on compliance-related issues.

  • Support responses to regulatory inquiries and investigations.

  • Research and stay informed about changes in laws and regulations that may impact the organization.

  • Input data into internal databases accurately and efficiently.

  • Contribute to the implementation of best practices and initiatives.

Qualifications

Education & Experience

  • 1+ year(s) of work experience, preferably in a related role.

  • Experience sorting and filtering data in Excel or similar tools.

  • Experience working with Microsoft Outlook or similar tools.

  • Proven ability to enter data accurately.

  • Experience working independently and collaboratively in a team environment.

  • Ability to prioritize and multitask effectively.

  • Strong organizational and administrative skills with keen attention to detail.

  • Excellent written and verbal communication skills.

  • Effective time management skills.

  • Ability to handle sensitive and confidential information with discretion.
