Job Overview:
The Drug & Alcohol Testing Programs Assistant supports the after-hours execution of the company's drug and alcohol testing programs. This role is responsible for scheduling and coordinating testing events, maintaining accurate compliance records, and serving as an after-hours contact for client employers to schedule drug and alcohol testing. The Assistant works closely with and under the direction of the Senior Director, Near-Site Operations, and plays a critical role in ensuring programs are executed accurately, on time, and in accordance
with applicable regulatory and contractual requirements.

Primary Responsibilities

Scheduling & Logistics:
• Coordinate and schedule primarily post-accident and reasonable suspicion drug and alcohol testing events for assigned accounts.
• Contact On-Site Collector Network to coordinate and communicate testing logistics for employers, employees, and collection sites, ensuring timely and accurate execution.
• Monitor open testing events and follow up to ensure completion within required timeframes.
Compliance Tracking & Recordkeeping:
• Maintain accurate, complete, and confidential records of all drug and alcohol testing activity, including test results, chain-of-custody forms, and program participation documentation.
• Ensure all records are organized and retained in accordance with regulatory and contractual requirements. Client & Employer Communication:
• Communicate test results, when applicable, to designated employer contacts in a professional and timely manner.
• Respond to internal and external inquiries, escalating complex issues to the Director. Administrative Duties:
• Work closely with DAT team, ensuring status of all open matters is accurately and completely
communicated at shift changes.
• In downtime, assist with downloading results from respective lab portals, generating drug screen letters, updating Sourcelink employee files, and other administrative duties as assigned for the DAT, Clinical Services, and Injury Management teams.
Qualifications
2+ years of hands-on experience as a Travel Virtual Assistant, Executive Assistant, or in travel coordination, preferably in the BPO industry.
Experience managing schedules, handling bookings, and processing travel-related concerns for clients.
Ability to manage multiple tasks or customer tickets efficiently and prioritize under tight deadlines.
Familiarity with CRMs or client management tools (e.g., Salesforce, Zendesk, HubSpot) and willingness to learn travel-specific platforms such as Axus or Travefy.
Experience with scheduling tools and email management systems to stay organized.
Excellent attention to detail, problem-solving skills, and organizational abilities.
Strong English communication skills, both written and verbal.
Self-starter with the ability to work independently, meet deadlines, and adapt to a remote work setup.
Bonus: Experience with travel platforms such as Expedia, Booking.com, or TripIt.
