Human Resource Specialist

Job Overview:
We are looking for a diligent and organized Human Resources Specialist to support the HR department in handling administrative, compliance, and employee lifecycle tasks. This role will be responsible for preparing and maintaining employee records, ensuring proper filing of government-mandated documents, managing HMO enrollments, preparing and discussing job offers, and coordinating both onboarding and offboarding processes.
The HR Specialist will report directly to the CEO and Managing Director and will work closely with the Talent Acquisition Specialist to support recruitment. The role will also require proactive communication with employees to remind them of any incomplete employment requirements and ensure timely compliance.
Responsibilities
HR Administration & Compliance
• Prepare and maintain accurate employee records, contracts, IDs, and personnel files.
• Handle government-mandated reporting, filing, and compliance requirements with SSS,
PhilHealth, Pag-IBIG, and BIR.
• Organize enrollment of employees and their dependents in HMO programs, including
renewals and updates.
• Create and issue employee IDs and manage personnel documentation.
• Track attendance, leave credits, and employee movement records.
• Follow up with employees regarding missing or incomplete employment requirements and
ensure proper compliance.
Recruitment & Job Offers
• Work closely with the Talent Acquisition Specialist to support recruitment activities.
• Prepare and send job offers, discuss compensation and benefits with candidates, and answer
pre-employment queries.
• Draft and process employment contracts and ensure completion of pre-employment
requirements.
• Onboarding & Offboarding
• Manage the onboarding process, including orientation, company policy discussions, and
preparation of employee kits.
• Facilitate the offboarding process, including exit interviews, clearance, final pay
documentation, and government reporting.
• Discuss employee terminations professionally and ensure all necessary documentation and
compliance steps are completed.
• Coordinate handoff and recovery of company assets (laptops, monitors, IDs, etc.).
Employee Support & Relations
• Respond to employee queries regarding HR policies, benefits, and requirements.
• Support employee engagement and HR initiatives to maintain a positive work culture.
• Maintain confidentiality and ensure compliance with labor laws and company policies.
• Reporting & General Support
• Maintain HR databases and ensure accuracy of employee information.
• Prepare HR-related reports and analytics for decision-making.
• Perform other administrative duties as assigned to support the HR team.
Qualifications
• Bachelor’s degree in Human Resources, Psychology, Business Administration, or related field.
• 1–3 years of HR or administrative experience, preferably in the Philippines.
• Knowledge of Philippine labor laws, government benefits (SSS, PhilHealth, Pag-IBIG, BIR), and HR compliance.
• Experience in handling HMO enrollment, employee benefits, and company asset management.
• Strong organizational and record-keeping skills with attention to detail.
• Excellent communication and interpersonal skills, including the ability to discuss job offers,
employee terminations, and compliance reminders with professionalism.
• Proficient in MS Office (Word, Excel, PowerPoint) and comfortable working with HRIS systems (a
plus).
